What an export buyer asks for before the first order

Good produce is rarely the problem. The deal usually stalls on paperwork the buyer expected to see on day one. Here is what to prepare before you approach a buyer.

A clear product specification

Buyers want to know exactly what they will receive: variety or grade, size, packaging, quantities per carton and pallet, shelf life and how the product is stored and shipped. A one-page specification sheet answers most first questions and shows you are serious.

Proof of food safety and good practice

Many retailers and importers, especially in Europe and the Middle East, expect a recognised farm standard such as GLOBALG.A.P., and some ask for additional social or environmental audits. Find out which standard your target buyer requires before you spend money on certification, because requirements differ by market and by customer.

Export registration and inspection

In South Africa, many perishable products need to meet export standards and pass inspection before they leave the country, and the farm or packhouse may need to be registered for export. Confirm with the relevant authority and your agent which registrations apply to your product and destination.

Volumes you can actually deliver

Be honest about how much you can supply, when, and how consistently. A buyer would rather start with a smaller confirmed volume than discover mid-season that the promised quantity was a guess.

A professional profile

A short company profile with your location, products, volumes, certifications and contact details helps a buyer present you internally. Add photographs of your product, packing and facilities.
